Show what is complete and what remains

Begin with a short summary of the objective and the current position. Link to the key files, then distinguish completed work from open tasks. If progress depends on an answer or a document, make that explicit and name the person who can help.

Keep the reason behind the decision

A list of steps does not always explain why a particular approach was chosen. Include the context your colleague needs to understand important decisions. Distinguish agreed decisions from proposals, and avoid leaving this knowledge buried in a long message thread.

Make room for questions

Give the receiving colleague time to review the file and ask questions before considering the handover complete. A few minutes of discussion may reveal something that familiarity has made difficult for you to see. Update the handover note so it becomes a better reference for the team.
